Art Therapy Works Ltd is looking for a part-time receptionist/office administrator with basic accounting knowledge to join our busy counselling practice. As our receptionist/office administrator you are the first point of contact with clients – in person and on the telephone. The ideal applicant will be positive, empathetic and professional with excellent communication skills and an accounting background. You must be able to uphold client confidentiality and provide a high level of customer service at all times.

The role offers 20-25 hours of work each week, Monday, Wednesday and Friday, between the hours 8am to 5pm – hours negotiable and hours may increase over time. The successful applicant would be employed as an independent contractor responsible for their own tax obligations.

Requirements for the role previous healthcare reception experience is desirable. Computer literacy: confident using Microsoft Office applications especially Word and Excel, Xero accounting package is a requirement. Office administration experience is essential. Impeccable ethical standards and confidentiality is vital. Excellent communication skills and a professional telephone manner. Empathy and a caring attitude.

What the job involves reception and general office duties; answering the telephone, interacting with clients. Scheduling and booking client appointments, primarily over the phone, but also in person. Invoicing clients through Xero or Patient Management System. Reconciling accounts in Xero. Assisting counsellors with administration tasks when necessary. Assisting Relationship Manager with administration tasks when necessary. Cleaning/tidying of counselling rooms and restocking supplies in rooms. Able to work in a team environment.
