We are a rapidly-growing Specialist and Emergency & Critical Care Veterinary Hospital with a team of seventy-plus employees. We are seeking a detail-oriented and enthusiastic administration assistant to support the Executive Management team with the general administration and non-clinical day-to-day operations of the hospital.

This person will have good people skills, be highly organised, proactive, able to think on their feet, and have an aptitude for getting things done in a high-paced environment. You will have strong organisational skills, able to work autonomously and run with numerous things on the go. In addition, confidence in communicating across all levels of the organisation and a sense of humour are essential to this role. You will be set up for success through guidance and support from the Clinical Director and management team.

Your application will be strengthened by having a real passion for administration, attention to detail, and being organised. Veterinary industry experience will be an advantage, but not necessary.

Responsibilities may include assisting the Executive Management Team with general administration tasks including minute taking, schedules and maintaining databases and registers. Handle IT issues and requirements with the ability to triage and act as the conduit between the hospital & IT support.

Assist with the management of OHS compliance. Work in partnership with Northside Emergency Vets to manage Facilities and Administration needs. Assist with maintaining a social media presence, and providing admin support for the marketing team. Staff catering and event organisation including onsite training days, staff birthdays and celebrations.

Assist with the coordination and set up of events for referring veterinarians and/or staff both internal and external. Be a company role model by maintaining a positive and proactive management culture within the practice.

About you to succeed in this role, you must be professional and approachable. Possess strong organisational skills and the ability to multitask. Have a strong interest and flare for marketing and promotion. Able to manage external relationships (Facilities & IT). Have excellent communication skills and a strong customer service ethos. Have a willingness to learn and work as a team. Be able to work autonomously and complete tasks in a timely manner. Able to work with minimal guidance/support. Strong written and verbal communication skills.
