Busy Bees at Bellmere is looking for a passionate Service Administrator to join our team and provide essential administrative support to the Service Manager while helping ensure the smooth, efficient and compliant operation of our service.
This is a fantastic opportunity for someone who enjoys a varied role where no two days are the same. You’ll be a welcoming first point of contact for families, support the Service Manager and educators, manage important administrative processes and help create a positive experience for children and their families.
About the Role
As our Service Administrator, you will play an important role in the day-to-day running of the service. You will work closely with the Service Manager and 2IC, educators, teachers and families to ensure administrative tasks are completed accurately, efficiently and confidentially.
Your responsibilities will include:
Providing day-to-day administrative and secretarial support to the Service Manager
Welcoming families and visitors and responding to enquiries professionally
Answering phone calls, managing messages and ensuring information is passed on promptly
Supporting enrolments, bookings and family enquiries
Maintaining accurate child and service records and ensuring documentation remains up to date
Assisting with accounts, payments, banking and correspondence
Supporting invoicing and debt management processes
Assisting families with account enquiries and relevant documentation
Supporting compliance and regulatory record keeping
Maintaining confidentiality and handling sensitive information appropriately
Assisting with staff administration, timesheets and general office processes
Supporting communications with families through relevant platforms and centre information
Ordering and receiving supplies as required
Assisting with health, safety and emergency documentation
Providing classroom/relief support when required by the Service Manager
Assisting with projects and other tasks that contribute to the smooth operation of the service
The role requires a high level of accuracy, organisation and attention to detail, as well as the ability to manage competing priorities in a busy early learning environment.
About You
We are looking for someone who is:
Highly organised with excellent attention to detail
Friendly, approachable and confident when communicating with families and team members
Professional and able to maintain confidentiality
Able to work independently and use initiative
Comfortable managing multiple priorities in a busy environment
Reliable, accountable and committed to maintaining compliance
Confident using computer systems and Microsoft Office
Experienced in administration, preferably within early childhood education or a similar service environment
Passionate about providing exceptional service to children, families and the wider centre team
Experience with Xap, Workday or another child management system will be highly regarded.
What You'll Need
Certificate III in Children's Services (or recognised equivalent) or higher
Current Blue Card or the ability to obtain one prior to commencement
Current First Aid and CPR
Previous administration experience
Strong written and verbal communication skills
Excellent organisational and time management skills
A high level of accuracy and attention to detail
