Our Office Operations team is at the heart of ensuring the smooth and efficient functioning of the Firm’s day-to-day operations. Our team manages the infrastructure, systems and services —both globally and locally—relating to our office workplaces, onsite and remote operational services, security, safety and a range of other areas.

Our Guest Services Assistant plays an imperative role in providing our clients with a distinctive client experience. Guest Services works closely with other teams to ensure a high-quality and effortless experience that sets us apart from our competitors. You will have the support and resources to enhance your skills to provide World-Class Service at White & Case.

Key responsibilities
Hospitality Services – Provide and replenish refreshments, catering, tea/coffee orders, and ensure comfort during long/all-day meetings.

Reception & Client Service – Provide reception cover by greeting clients, managing the inbox, and handling urgent queries in the receptionist’s absence.

Meeting Room Setup & Support – Arrange furniture, catering, AV/sound checks, and conference facilities for meetings and events.

Technical Assistance – Support staff and guests with IT/AV needs (e.g., connecting presentations, liaising with IT, resolving tech issues).

Room & Facility Maintenance – Monitor and report issues (cleaning, equipment faults, furniture damage), reset rooms after use, and maintain visitor desks.

Kitchen & Breakout Area Management – Keep shared spaces clean and functional, restock supplies, and perform routine equipment cleaning (e.g., coffee machines).

Office Supplies & Procurement – Order, restock, and manage inventory for stationery, kitchen, cleaning supplies, and process related invoices.

General Office Administration – Support Office Operations Manager with building management liaison, security procedures, procedure manuals, and ad hoc administrative tasks.

The skills and attributes we are looking for

2+ years of proven working experience in a customer service role

Corporate boardroom hospitality experience highly regarded

Barista license (desired)

RSA (desired)

Solid communication skills both written and verbal

Ability to work well independently and in a team environment.

Ability to be resourceful and proactive in dealing with issues that may arise

Ability to organise, multitask, prioritize and work under pressure

Ability to be flexible and work overtime and weekends for special program events
