About the role this role is responsible for providing administrative support for the Community Capacity Building (CCB) Team within the Social and Community Services Unit on a part time basis (three days per week). The CCB team is a multi-disciplinary team involved in a wide variety of work across the community, so this role is important in enabling this work through sound processes, attention to detail and flexible support. The role also plays an important role in supporting the delivery of Council's Community Grants programs. This is a permanent part time position working 3 days per week (21 hours).
On a daily basis you will provide administrative support to assist Community Capacity Building leads and staff with the day-to-day operations of the Community Capacity Building (CCB) team. Administration of payments relating to community grants and other grants related duties as required. Maintenance of Records Management Systems, including ensuring an efficient flow and distribution of all correspondence, files and other various documents.
Manage processes for the teams in TRIM, TechOne and Pathways in relation to correspondence, Councillor/Customer requests, procurement/receipting and staff attendance. Raise Purchase Orders and payment requests and follow up on settlement of accounts. Utilise advanced knowledge of Microsoft Office and Info Council to follow up and coordinate the finalisation of Business Paper Action Requests and conversion of business paper reports to the correct text format.
Prepare and provide information such as reports, service and advice to internal and external customers about the team's functions, programs and activities. Perform administrative duties for the CCB team, including minute taking, maintenance of minutes and other duties as required.
Organise meetings and catering on behalf of the team as and when required. Coordinate registration, travel and accommodation for conferences and seminars for attendance by CCB staff. Coordinate stationery and other office supplies and arrange servicing of office equipment
About you we're looking for a highly organised individual with exceptional communication skills, attention to detail and the ability to work independently and as part of a cohesive, purpose-driven team. Proficiency in Councils software packages such as TRIM, TechOne and SmartyGrants would be an advantage.
Qualifications Certificate in business administration or relevant work experience.
Experience demonstrated ability to provide high quality customer service. The ability to plan and manage work effectively to meet demands and deadlines. The ability to work effectively in a community services environment and manage client enquiries including complaints. Well-developed communication skills including the ability to write basic reports and communicate (written and verbal) with a wide range of people.
Skills well-developed administration and office management skills. Computer literacy including a high standard of word processing. Well-developed interpersonal skills and the ability to work as a team or independently
What's on offer this is a permanent part-time position, for 21 hours per week. We are offering an attractive salary package from $65,683 to $72,309 pro-rata plus 10.5% superannuation.
