About the opportunity we are recruiting a number of temporary Administration Support Officer roles that will provide crucial high level support to teams within the Information Access and Exchange (IAE) unit. IAE is part of the Statewide Services directorate within the Department of Communities and Justice (DCJ). The unit is divided into four teams consisting of Care Leaver Records Access, Information Exchange, Interim Care Referral Unit and Interstate Liaison.

Core accountabilities include Mailbox Management, providing Administrative support to various units, liaising with internal & external stakeholders, working across a number of databases and systems. Some of the core accountabilities include but not limited to provide a range of administrative activities and office services that contribute to the efficient and effective operation of the team/unit. Manage and process business information in accordance with standards and guidelines to ensure all information is accurate, stored correctly and accessible as required. Use relevant technology to prepare documentation, provide search & supply of records.

Implement and maintain effective administrative systems and processes and make recommendations to improve efficiency. Build and maintain relationships with other business areas to effectively manage the flow of business information and activities.  Provide support and assistance to other members of the unit as required, to ensure efficient and effective functioning of the team.

Provide customer service and phone duties as required, to act as a first point of contact for the business unit to ensure issues are resolved or escalated appropriately. Confident in working independently and manage competing priorities. An understanding of Child Protection legislation, practices and Out of Home Care services in NSW is desirable however not essential.

About you are highly motivated, have the ability to work independently. Your flexible approach, ability to plan and prioritise and understand systems will set you apart from the rest. As an effective communicator and relationship builder, solving problems and working collaboratively will come naturally to you. Demonstrated experience in administration coordination and delivery is essential. Ability to use Word, Excel and Outlook is a must. This role requires the ability to use multiple systems, attention to detail and integrity of client related data.
