Administration Assistant VFJ location Melbourne. $30 - $34.99 per hour.

About this role we are seeking a well-organized and motivated administration assistant, who is prepared to manage a variety of tasks in a fast-paced environment.

You will work closely with Finance Manager & support Operations team and your main responsibilities will include (but not limited to) general administration duties including answering phones, data entry and electronically storing documents.

Creating & allocating service jobs to field technicians including sending job details to subcontractors. Continuously monitoring and prioritising service calls. Arrange & manage freight bookings for parts & machines.

Closing & Invoicing jobs promptly and following up debtors, where required. Processing supplier or subcontractor invoices when required (most of these are automated). Efficiently escalating all service issues to the Management team. Any other appropriate duties as requested by the company. Desired skills and experience.

Previous experience in a similar Service Coordinator / Service Allocator role will be highly regarded but not essential. Strong communication and customer service skills. Methodical with a good attention to detail. Demonstrated ability to work effectively autonomously.

Ability to develop strong working relationships to motivate and influence a team of technicians. Proactive, self-motivated, and enthusiastic team player. Advanced computer skills including using different apps and Microsoft products. Experience with Ascora Job Management Systems or something similar.
