About the role to provide administration services to the Asset Management and Maintenance Branch that supports the organisation by ensuring that mobile fleet, Heavy Plant and equipment are maintained to manufacturers schedules and specifications within budget limitations and in accordance with relevant legislation.

Scope the Administration Assistant has the following major components to coordinate Work Orders and ensure timely completion. To Assist Mechanical Workshop source, procure Parts and needed equipment. To provide administrative support to the Asset Management and Maintenance Branch.

Key responsibilities check Workshop Staff time sheets against workshop diary. Source and procure needed parts and equipment to ensure timely service and repairs. Process purchase requisitions. Process purchase invoices.

Liaise with Fleet stakeholder and service providers to ensure timely schedule maintenance. Maintain asset information in TechOne Fleet Maintenance Module. Compile and print reports as required. Enter timesheets into Kronos module for Building Services Team.

As necessary, enter occurrence reports (for accident/incidents) and hazard reports into the WHS systems in a timely manner in accordance with determinations, business rules, procedures and practices.

Undertake any other tasks as required by the Graffiti Management Officer, within the skills, training, qualifications and experience of the role.

Enter an maintain time and attendance, leave and higher duty records in the time and attendance system in accordance with  business rules, procedures and practices, within specified timeframes in each pay period.

Experience comprehensive knowledge of Office Administrative functions. Excellent organisational skills. Demonstrated high level of accuracy and attention to detail. Demonstrated ability to work in a team environment.

Demonstrated commitment to high level customer service delivery. Demonstrated computer literacy in Microsoft Work, Excel. Knowledge of organisational recordkeeping practices and information systems.
