The New Zealand College of Chinese Medicine is a Private Training Establishment, that delivers Master's and Bachelor's Degree, Diploma, and Certificate programmes in Acupuncture, Chinese Medicine, and western massage therapies.

We are currently seeking a full-time clinic Administration staff who has a healthcare background, for our student clinic. This role would normally be 40 hours per week and from Monday-Friday, between 8.30 am and 7.30 pm with different start and finish times.

The successful applicant will be required to deliver excellent customer service at reception and administrative roles and office functions that are normally associated with a busy clinic.

Reporting to the Operations manager, your primary responsibilities will be for ensuring the smooth operation of the student clinic through coordinating and organizing client appointments via phone and online. Coordinating and monitoring student clinic schedules.

Meeting and greeting patients. Telephone & email communications. Confirming appointments with patients. Patient file management, cash handling & administrative clinical duties. Sales of acupuncture equipment and maintaining supplies for effective clinic practice.

Assisting the promotion of the clinic services to the public. Monitoring and reporting on health and safety, including clinical hygiene, patient note-taking, etc. Clinic audits and file audits as required monitoring and reporting student attendance in clinic and adherence to clinical guidelines and policy practices.

Providing training to students the clinic operations and monitor students’ clinic observation. Other administration tasks may be required a relevant New Zealand qualification and a minimum of 2 years of relevant clinic administration experience are required.

On-the-job training in our clinic systems will be provided, however, preference will be given to applicants with previous or similar clinic or health care work experience.

You will need to have excellent communication skills and can work independently in an environment that allows your customer service personality to shine whilst delivering efficient and excellent care to our patients. You will need to demonstrate that you can work effectively with a diverse range of students, supervisors and patients. Excellent time management and meticulous attention to detail will stand the applicant in good stead.
