About This opportunity we are seeking a highly motivated and organised Student and Academic Administration Officer (HEW 5) or Senior Officer (HEW 6) to support our team in the Faculty of Health and Behavioural Science.

We have multiple positions available at either HEW 5 or HEW 6 depending on the successful candidates' qualifications, skills, and experience.

As a Student and Academic Administration Officer (HEW 5), you will provide high quality customer service through the delivery of friendly, helpful, accurate, and informative advice and services to students, professional and academic staff.

As a Student and Academic Administration Officer (HEW 6), you will provide a wide range of senior administrative services to support the effective and efficient operation of the Faculty of Health and Behavioural Science.

These positions are located at our vibrant St Lucia campus and are ideal for those who are eager to work within a prestigious higher education community of professional and academic staff and students.

At HEW 5, key responsibilities will include provide information to students, prospective students and staff on the academic programs offered through the Faculty including admission requirements, enrolment processes, applications for credit, examination and graduation procedures and the policies, rules and procedures associated with a student's progress within the learning environment.

Provide support to the Associate Dean (Academic) on student matters by processing routine documentation relating to admission, enrolment, academic progression, assessment and graduation, and providing relevant information and recommendations.

Assist in the development and implementation of standard operating procedures related to student and academic administration. Liaise with other faculties, schools and Academic Services Division on specific student matters.

Represent the Faculty and schools at TSXPO, Open Days and other events as required. Assist with student enrolment surveillance and government and regulatory reporting processes in the faculty and its schools as required.

Provide administrative support for the academic activities that support the Faculties interprofessional strategy including large undergraduate courses. Provide on-site support to school based student administration teams as required.

Assist in the maintenance of information in relevant Faculty and University databases, websites and publications, including program and plan information, course lists, program information book, study guides, faculty website, FAQs, information sheets etc.

At HEW 6, key responsibilities will include coordinate information, advice and support to students, prospective students and staff on the academic programs offered through the Faculty including admission requirements, enrolment, assessment and graduation procedures and the policies, rules and procedures associated with a student's progress within the learning environment.

Provide advice to the Associate Dean (Academic) through the Manager, Student and Academic Administration on student and academic matters within the framework of University rules, policies and procedures.

In consultation with the Manager, coordinate the student enrolment surveillance and government reporting processes for the faculty with a focus on continuous process improvement. Maintain the Faculty's credit guidelines and administer the Credit Precedents Database.

Coordinate operational aspects of administrative activities associated with the student lifecycle. Undertake statistical and data analyses as required and implement process improvements through the analysis of student data.

Coordinate and update information in relevant Faculty and University databases, websites and publications, including programs and courses, Future Students, study guides, websites, FAQs and information sheets.

Represent the Faculty at TSXPO, Open Days and on relevant working groups and provide secretarial support to Faculty committees and working parties as required. Assist with actively managing student and academic administration workloads, as determined by the Manager, Student & Academic Administration.

Supervise day to day activities of the Student & Academic Administration Officers as required. Provide training to staff in the Faculty and its Schools. These roles are subject to The University's Code of Conduct.

About you we are seeking a motivated, energetic and highly organised Administration Officer/ Senior Administration Officer with outstanding administration, coordination and interpersonal communication skills and a clear commitment to providing high levels of customer service.

In addition, you will have an undergraduate degree in a relevant area or an equivalent combination of experience and/or education/training. A sound understanding of administrative processes relevant to student and academic administration, or the ability to rapidly gain such knowledge.

Demonstrated ability to establish priorities and meet deadlines. High level of attention to detail and accuracy in written work. Ability to exercise initiative and judgment and to work independently and autonomously.

High level written, oral and interpersonal communication skills. The ability to work collaboratively and effectively within the team and across other organisational units. A strong orientation to the provision of a high level of customer service.

An empathy with and ability to communicate with students, including those from diverse cultural backgrounds. Experience in a tertiary education institution or other large organisation in an area related to student administration would be highly regarded.

Knowledge of University student computer systems and packages e.g. Microsoft office, SI-net, Business Objects, InPlace and the use of CRM systems would be desirable.

In addition, at HEW 6 a degree with subsequent relevant experience; or extensive experience and specialist expertise or broad knowledge in technical or administrative fields; or an equivalent combination of relevant experience and/or education/training

Demonstrated skills in providing a high level of customer service, including excellent interpersonal skills. A high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook). Demonstrated ability to understand and apply a range of rules, policies and processes with regard to the regulatory and legislative context.

Excellent written and verbal communication skills. Skills in project coordination. Highly effective organisational, time management and problem solving skills. Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
