We have a full-time permanent position available for an experienced administrator to join the Drainage, Environmental and Pump Service teams at our depot based in East Tamaki.

The successful candidate will be used to a fast-paced environment and has the ability to take full ownership of the role including the administration duties for the Drainage, Environmental and Pump divisions.

As the face of the Hanlon group service teams, the successful candidate must be able to demonstrate they have excellent time management and proven experience following systems and procedures.

They will plan work schedules for our services teams, efficiently matching people to service work at customer sites. Understanding the upcoming service work, planning those jobs into work schedules, and taking ownership of planning is vital to this role.

Duties include but are not limited to handling incoming service requests via phone and email from existing and new clients. Being the first point of contact for the field services teams. Liaising with the Division Manager’s to organise and issue work schedules to field crews.

Preparing reports on job progress/invoicing and productivity of jobs. Client updates on service agreements and job confirmations. Following up on progress and closure of jobs in real time including invoicing to client.

Working with the Division Managers and accounts team to resolve any delays, invoicing, or credit issues. Prepare monthly reports as required with Division Managers. Obtaining necessary permits and documentation required.

Attend meetings, record minutes and produce action statements. General office administrative duties (which would include but not limited to uniform management, greeting clients, suppliers & staff members; organise division events and manage consumables for the office).
