The opportunity the University of Auckland calls this role Group Services coordinator we have two, fulltime (37.5 hours per week) roles available. One is a maternity leave contract for a minimum of 8 months and the other is a permanent role.

The Group Services Coordinator role is interesting and challenging.  It is suitable for an experienced and efficient Coordinator with a focus on excellent customer service skills and a can-do attitude.

A whiz at multi-tasking and prioritisation, you will provide support to an academic head and assist them in managing their department/section. The role also assists staff with academic and professional staff recruitment processes.

Additionally, and occasionally, project roles and specific assignments will be allocated to you, with you assisting with the wider schools and faculty. Flexibility and collaboration will be key attributes of the successful candidate, along with an excellent skill set in time-management, organisation, accuracy, ability to work under pressure.

Familiarity with the MS Office suite is essential. Remuneration:  $55,000 - $58,000 negotiable on skills and experience. For more detailed information, please refer to the Position Description.

Key accountabilities include provide executive administrative support to an academic head and/or key departmental staff, create HR contracts, coordinate travel plans and itineraries, diary management and coordination of meetings, to assist them to manage their responsibilities effectively.

Liaise with Finance team to provide financial information to assist budgeting e.g. oversight of budget expenditure; and credit card reconciliations. Liaise with internal and external personnel regarding organising a range of administrative requirements such as travel, events and communications.

Work with the HR team to assist with recruitment, and other HR related issues. Provide administrative support as required for meetings, support workshops, seminars and panels related to faculty initiatives.

Provide project-related assistance and management of specific projects. Work collaboratively to ensure continuous improvement and efficiency in Faculty and department administration processes. Provide general administrative support as required by the Group Services Manager and Team Leader.

About the team the Group Services team are charged with providing a broad range of administrative support for the schools, supporting teaching and research, and coordinating everyday operations.

Group Services ensure administrative processes run as they should, that people get the information they need when they need it, and any roadblocks are smoothed away efficiently.

About you although experience within a similar environment would be beneficial, it is more important that you bring a great attitude, with the ability to roll up your sleeves and provide exceptional support with our department.

You will be calm under pressure and able to work in a fast-paced, deadline-driven environment. If you are the kind of person who gets satisfaction from knowing everything that is going on and enjoys thinking one step ahead of others to make sure they have what they need and things get done, you will find this role very rewarding.
