A DAY IN THE LIFE?

We are currently seeking a full time Property and Projects Coordinator to join our team. Reporting to the National Property and Portfolio Manager, the purpose of this role is to:

Support the delivery of property projects while maintaining the accuracy and integrity of key property network data across all relevant platforms

Assist in ensuring all Property Department projects — including new store developments, relocations, refurbishments, tenders, and merchandising initiatives-are completed on time, within budget, and in full compliance with OHS requirements

Key responsibilities will include:

Maintain and manage all lease information in Lease Eagle, ensuring data accuracy, timely updates, correct processing of rental invoices/outgoings, and effective coordination of lease execution and documentation with solicitors.

Support property team operations by preparing and distributing detailed meeting minutes, compiling KPI and performance reports, and assisting with due diligence and administrative tasks.

Assist with lease negotiations, including options, renewals, and addressing landlord queries, while managing operational and management issues related to each property.

Oversee financial compliance for properties by monitoring annual outgoings reconciliations, tracking associated costs, and ensuring accuracy across all related financial processes.

Coordinate property maintenance and Capex activities in collaboration with the F&M Coordinator, ensuring issues are actioned efficiently and align with operational requirements.

Contribute to portfolio strategy development by working with the National Property Portfolio Manager on site network planning, including new sites, acquisitions, relocations, closures, and overall optimisation.

Prepare high-quality presentation materials such as site submissions, demographic insights, and sales analyses to support decision-making during property meetings

ABOUT YOU

To shine in this role, you will bring:

Experience in a similar property or retail fit-out role, with exposure to contracts, tenders, and foundational project and facilities management

Strong analytical and numerical abilities, supported by intermediate to advanced Microsoft Office skills, particularly Excel

Exceptional organisation, time management, and prioritisation skills, with a consistent ability to meet deadlines

High attention to detail and accuracy across all tasks and documentation.

Clear and effective communication skills, both written and verbal, with the ability to work independently and collaboratively

Proactive problem-solving and initiative, with the capacity to identify, understand, and resolve issues efficiently
