The Role

We’re currently hiring for a key role that can be offered as either a 12-month fixed-term contract or a full-time permanent position, depending on your preference and career goals.

We are looking for a detail-oriented Property Administrator to join our Group Enterprise Services division based in Melbourne. You will be responsible for the end-to-end management of lease documentation and data across Toll’s property portfolio and for providing administrative support to the Property team as part of the broader centralised property service.

As the Property Administrator, you will:

Maintain and update tenancy data, critical dates, and lease records in the property management system, ensuring accuracy and compliance with data protocols.
Create and adapt Excel spreadsheets to support tracking, reporting, and data analysis across the property portfolio.
Deliver regular and regulatory reporting on lease documentation, expiries, and outstanding matters to meet compliance requirements.
Act as the primary contact for lease administration queries, manage shared inboxes, and provide general administrative and landlord communication support.
Manage the full lease administration lifecycle, including documentation, execution, renewals, compliance tracking, and coordination with legal and facilities teams.
Oversee rent and outgoing payments, review reconciliations, support maintenance and capital works, and manage inspections, insurance claims, and make-good provisions.
About you

To be successful in this role, you will need:

A property and/or relevant tertiary qualification
Minimum 2+ years’ experience in lease administration within retail, industrial or office sectors
Strong Excel and property management system skills (Prolease/MRI preferred)
High attention to detail and commitment to quality
Excellent planning, organisational and communication skills
