Our Office Operations team is at the heart of ensuring the smooth and efficient functioning of the Firm’s day-to-day operations. Our team manages the infrastructure, systems and services —both globally and locally—relating to our office workplaces, onsite and remote operational services, security, safety and a range of other areas.

As a Practice Assistant you will play an important role in providing a wide range of secretarial, administrative and project support. You will work closely with partners, a team of lawyers and remote assistance from our Practice Assistant team located in Manila.

You will be a strong team player, actively seeking to improve working processes, anticipate needs and taking the next step. Our team collaborates and works cohesively with our local and global Practice Assistant group.

Key responsibilities
Provide general administrative support to partners and lawyers in our Tax Practice, including but not limited to, arranging meetings, booking rooms, handling calls, supporting travel related needs and expense reimbursements.
Prepare legal documents, correspondence, and communications etc. (may be required to liaise directly with clients when organising meetings)
Working with the Billings team in preparation of invoices including liaising with other various business support groups.
Assist set up of new matters on New Business Intake and facilitate conflicts clearance.
Plan and organise workflow to comply with established time constraints per request, to ensure to meet deadlines.
Use good judgment at all times; ask follow-up questions if instructions are unclear, efficiently communicate feedback, concerns, issues and workarounds.
The skills and attributes we are looking for
Experience in supporting lawyers in a law firm is preferred but not mandatory. Professional services experience highly regarded.
Experience in billing systems and processes highly regarded
Familiarity with MS Office, especially MS Word (including typing and formatting) and PowerPoint.
Experience booking both domestic and international travel.
Ability to learn quickly and proactive approach to all tasks
Excellent organisation and time management.
Good judgement asks questions and strong communication skills.
High level of integrity and diligence.
Ability to build strong relationships.
Excellent attention to detail.
Flexibility to be able to cover evenings/weekend on an ad hoc basis.
