Our opportunity we have an exciting opportunity for a Personal Assistant &  Office All-rounder to join our commercial division with our Sydney team. You will provide secretarial and administrative support to the wide commercial Team.

You will maintain a can-do attitude and accurately complete requests in a timely fashion, with a view to delivering your energetic flair not only to our team but also to our customers. Please note this is a Full-Time salary role.

Your responsibilities are but are not limited to ensuring the customer experience is encompassed in all aspects of the role. Building collaborative relationships with key internal and external stakeholders. Organising activities, engagement initiatives, and events.

Organising meetings and room bookings and preparing and distributing minutes/action items in a timely fashion. Preparing reports and additional correspondence including papers, presentations, briefings, and proposals.

Collating and distributing legal contracts and documentation for submission, approvals and sign-off where required. Proactively assisting with administration requirements for the team, including but not limited to mail distribution, printing, photocopying, IT equipment.

Driving improvements and maximising the efficiency of administration processes and assisting with maintaining appropriate systems and procedures. Competing tasks accurately, on time, and to a consistently high standard.

Work with the team to achieve good communication channels between stakeholders. Adhering to Geminair and Gemin3 policies and procedures and internal reporting deadlines, and providing accurate and high-quality reports, and quick responses to requests for information.

Assisting with any projects, or undertaking additional duties as reasonably required. Supporting HR people requirements - e.g., approving recruitment and employee change requests, organising signing of documentation, facilitating the onboarding and training of new employees, and ensuring accurate access and set up on commencement date.

Monitor the Project budgets to ensure that they are correctly reflecting the supplied budgets feasibility summary. Assist with progress claims for owners. Assist with the process expenses for team members in Concur and ensure compliance with the Client & Employee Entertainment Policy and procedures.

Assist the Project Manager and Commercial Manager in subcontractor and consultant management. Your point of difference experience as a Personal Assistant/Admin Manager and demonstrated experience in an administrative role with conflicting priorities.

Previous experience in the building industry is highly desirable. Advanced level of IT proficiency e.g., Microsoft Office Package, Demonstrated commercial/financial acumen. A proactive and self-motivated approach with the ability to solve problems, improve the system and procedural efficiency and effectiveness, and resolve issues as they arise.

Resilience with the ability to work under pressure. Exceptional interpersonal skills with the ability to leverage relationships and achieve successful outcomes. Reports to general Manager. Personal Assistant to Managing Director of Commercial Division, our people who are the key.
