Personal Assistant  Unity Grammar location Sydney.

Reports to the Administration manager role requirements acting as first point of contact for principal acting as a ‘gatekeeper’ and ‘gateway’ ensuring (Head of School) HOS’s office is accessible. Screening and directing phone calls, inquiries and requests.

Dealing with correspondence including phone enquiries, emails, post and parent enquiries. Liaising with staff (teaching, administrative, accounts etc.), parents, students, community members, consultants etc. Corresponding on behalf of the Principal, where relevant.

Day-to-day Administration duties ensuring the day-to-day administration requirements and deadlines are met. Working closely with the Administration Manager and assisting the administration team as and when required.

Assist with data entry and follow ups as and when directed by the Administration Manager. Provide support and cover in the department where required. Ad-hoc work as and when required by the Administration Manager and the Principal.

Compliance legislative and compliance management (e.g. Daily student attendance and punctuality). Ensuring all compliance requirements are followed up and filed/recorded on a weekly basis. Working closely with Administration Manager on compliance matters relating to Senior School.

Managing and organising calendar, meetings and appointments as well as events by booking venues and/or other spaces for events. Ensuring documentation is submitted including event planners, risk assessments and management plans, notifications.

Meeting and greeting visitors. Arranging catering needs. Assisting with end of year awards and assemblies. Reminding Principal of important tasks and deadlines. Preparing communications on behalf of Principal. Managing personal workload and responsibilities.

Managing databases and systems, including school management software (e.g. Sentral). Data management software (e.g. excel spreadsheets). Learning management software (e.g. Canvas). Finance management (e.g. Bulk payments and payment reconciliation).

Event management (e.g. campus planner, events committee calendar). Communication management (e.g. Dojo, Edmodo, Skoolbag APP, SMS). Staff exit process – assisting HR with relevant follow ups.

Assisting with clerical and administrative tasks by taking notes and writing minutes during meetings. Photocopying, filing, mailing and other clerical tasks. Collating and filing expenses and other accounts and budget responsibilities (e.g. Preparing purchase orders, printing invoices, ensuring billing details are correct).

General record keeping, filing and administrative systems that are maintained at optimum level. Providing general assistance during presentations. Contributing to the ongoing digitisation process.

Supporting school improvement by conducting, preparing and carrying out specific projects and background research. Producing documents, briefing papers, reports and presentations (where relevant). Providing feedback, suggestions and implementation processes for improvement.

Contributing to the continuous improvement of the College to gain operational efficiencies and improve service delivery. Building professional and respectful relationships with staff, students, families and external stakeholders. Representing the College with integrity, sincerity and allegiance.

About you ideal skills excellent administration skills (at least 2 years experience in a similar role). Certificate in Business Administration (desirable but not necessary). Excellent organisation skills, ability to prioritise and coordinate and excellent time management skills.
