Haald Engineering is a small Engineering Design Consultancy with over 20 years’ experience in a broad range of industries, including mining, sugar and mineral processing. We are currently looking for an office administrator to join our team in Milton, Brisbane.

We are looking for someone who can proactively and efficiently contribute to our team and our company’s objectives. As a small design consultancy firm, you will be working within a dynamic team on engineers and consultants, and will play an essential role in the smooth running of our operations.

About the role we are looking for a skilled professional to join our team on a casual basis (20-30 hours per week depending on business needs). The salary range varies between 30 – 40 AUD/hour depending on the candidate’s experience and qualifications.

The responsibilities of the Office Administrator will include assist the team with travel arrangements, conference/seminar bookings, screening of phone calls, preparation of reports, minutes of meetings, contracts, presentations etc.

Client liaison - Be a player in the relationship between our company and our clients. Marketing Support – Coordinating website updates, maintaining the Company Profile, preparing PowerPoint presentations, coordinating advertising campaigns etc.

HR support – Recruitment, induction of new employees, coordinating training requirements. Managing and maintaining the company’s document control system. Implementing, streamlining, and updating company’s systems and procedures.

Ensuring compliance with ISO quality standards, updating the relevant company procedures when necessary and conducting internal and external audits. Accounts to Trial Balance including General Ledger reconciliations.

About you background in Law, Business Administration, Marketing or Finance desirable. Mature attitude (reliable and loyal), discretion and strong work ethic required. Willingness to learn new skills and ability to listen and learn on the job. Advanced MS Office skills (Word, Outlook, Excel, PowerPoint) essential.

Knowledge of Microsoft 365 collaboration tools (Teams, SharePoint). Some experience in accounting desirable; experience with Xero and WorkflowMax would be an asset. Competent IT skills with an ability to learn new programs and systems quickly. Highly developed communication, writing and presentation skills.

Able to work both independently and as part of a team. Ability to efficiently multi-task, self-manage and problem-solve. Ability to write correspondence, documents and presentations. Creative thinking and attention to detail. Positive, proactive and flexible attitude.
