Hytec Cooling Pty Ltd is an established Commercial Refrigeration and Air conditioning company, servicing and installing across various sites in the Sydney metropolitan area since 2012. Based in the Bayside area, our growing team of qualified technicians are experts in both commercial and residential installation and maintenance.

Job summary we have an exciting new opportunity for an administrator to join our office in Rockdale on a full-time permanent basis. As an office admin you will play a prominent role in keeping the office running smoothly by coordinating with our team members and clients alike.

We are seeking a reliable, self-motivated individual with a positive attitude and willingness to learn. This role would suit someone with relevant administration experience in small office management, data entry, and basic IT support however we are open to training entry-level candidates.

The role involves diverse administrative duties including document control (scanning, uploading and management of One Drive). Scheduling and calendar management (Google Calendar upkeep, Zoom/ Teams e-invites and coordination of technician maintenance schedules).

Data entry. Purchase order reconciliation. Document review. Basic Accounts support (follow up on receipts and invoices, prepare claims and invoices where requested). Basic IT support (setting up devices, assisting in conference calls, troubleshooting issues to IT helpdesk and its resolution, etc).

Key attributes strong time management and task management skills. Attentive to detail. Excellent verbal and written communication skills. Strong problem solving skills. Proficiency in Microsoft Office applications. Flexible scope of learning. Commitment to continuous improvement.

Preferred proven administration experience as an administrator in a similar environment (construction, manufacturing, heating and cooling, etc). Experience in using a job management system (e.g. Ascora, SimPro, AroFlo etc).
