Our Local Government Clients located in Melbourne are looking Multiple Administration officers to join their teams. These positions offer an immediate start with full time hours.

Key duties provide a general administrative function and support to Compliance Service Units including word processing, data entry, telephone and counter enquiries, filing, photocopying, word processing and data entry.

Take appropriate action in response to enquiries in a timely and efficient manner having regard to Council policies and procedures. Record and register appropriate information in Councils Electronic Content Management System.

Receive and distribute correspondence for Compliance Support Unit. Requisition payments as per Council’s Purchasing Policy. Demonstrate a customer focus to internal and external customers. Maintain a high level of confidentiality and discretion in the handling of a wide range of information and projects.

Assist with the Pool Audit program (create files, book inspections, correspondence and filing). Administer the Poolcar system for Compliance. Use of computer systems to generate statistics and reports.

Assist with registration of building permits applications, occupancy permits and other documents. Assist  with the assessing and issuing of disabled parking permits for residents of the municipality. Assist with the processing of infringement courtesy reminder letters and the processing of the data extract of files to be sent to the Infringements Court. Assist with the administration of the Immunisation Program.

Key selection criteria previous experience providing administration support. Role two: FOI and Privacy support officer based in south western suburbs of Melbourne. Initial Contract. Key duties assist in responding to FOI and Privacy requests, enquiries and complaints.

Support the maintenance of Council’s FOI Register; statistical reports; annual FOI Return to the Office of the Victorian Information Commissioner; Council’s FOI and Privacy Procedure Manuals; associated guidelines; processes and forms.

Assist in periodic audits into the effectiveness of Council’s systems, processes and procedures. Support the delivery of an ongoing awareness and education program to assist staff meet their responsibilities under Freedom of Information and Privacy and Data Protection legislation.

Assist in processing subpoenas for the production of corporate documents ensuring production costs are recouped from legal firms where possible. Register documents associated with FOI, Privacy and subpoenas into the Information Management system. Assist with achieving the annual strategic performance objectives set for the business unit.

Key selection criteria previous experience providing record or information management. Experience with FOI or privacy information. Role three: Administration officer based in west CBD Melbourne.

Key duties required to act as the customer contact person for the department, answer all phone calls and attend to the customer service counter. Download Infringements from Pinforce into the Authority database.

Daily export and import of electronic files to VicRoads to ascertain ownership details of vehicle associated with infringement notices. Mail out infringements. Extract correspondence report for infringements that have been Withdrawn, Payment Plans Approved or change of Driver Notifications.

Update Infringements database with new Status classifications as per correspondence report. Receipt and processing of Nomination Statements relating to all infringement notices. Produce Penalty Reminder Notices and process Letter of Demand warning letters. Prepare and submit Fines Victoria lodgements.

Manage and Process Infringement Payment Plan requests. Ensure Website Information with regard to department services is updated; refer any anomalies to Council’s Web Administrator for amendments. Provide administrative support to the Animal Management, Parking and Local Laws officers and fellow City Compliance administration staff.
