Role Title: Management Assistant
Reports to: Head of Real Estate & Executive Manager, Learning, Talent & Capability
Location: Sydney
We’re looking for a highly organised, proactive, and adaptable Management Assistant to provide direct support to the Head of Real Estate and the Executive Manager, Learning, Talent & Capability, along with high-level administrative support to the Procurement & Partnering leadership team.
This role is more than administration—it’s about problem-solving, improving processes, and driving efficiencies to enhance the way we work.
Key responsibilities
Manage complex calendars, room bookings, and travel arrangements for senior leaders.
Coordinate travel and provide administrative support for the wider Procurement & Partnering leadership team.
Process and reconcile monthly credit card receipts and expense statements.
Assist with new starter set-up (security, building access, IT, and systems).
Maintain organisational charts, intranet/SharePoint directories, and ensure HR systems data is up to date.
Support recruitment processes, reports, meeting agendas, and minutes.
Act as point of contact for Health & Safety requirements.
Provide back-up support for learning administration (ServiceNow queries, enrolments, training comms).
Drive continuous improvement opportunities to streamline administrative processes.
Deliver ad hoc administrative support as needed.
What you’ll bring
Minimum 5 years’ experience as an EA/MA supporting senior leaders in a corporate environment.
Strong skills across the MS Office suite (Word, Excel, PowerPoint, Adobe).
Excellent communication skills—both written and verbal.
Proven ability to prioritise, manage time effectively, and remain calm under pressure.
A high level of attention to detail and discretion with confidential matters.
A collaborative mindset with the ability to work across diverse and flexible teams.
Qualifications in office administration (desirable).
