We are currently looking for an Human Resource Administrator to join the Metro Tunnel Project Team.  The Role: Reporting into the Human Resource Business Partner, The Human Resource Administrator position exists to support to the Alliance HR team in the preparation of reports, management of information and documentation, administration tasks, resourcing management, office management and general team support.

Responsibilities organizing project teams, assigning individual responsibilities, forecasting and determining resource requirements. Monitoring and reporting on the status of projects including staffing, budgets and critical file. Ensuring adherence to internal and external quality standards (e.g., International Standards Organization).

Communicates information that requires little explanation or interpretation. Organisational charts, maintain, send out to Alliance Management Team, review and make changes. Team binder, manage our HRSA account, monitor and review requisition, ensure approval path is correct, send out reports to team, AMT/Finance to ensure approvals are happening, HR sign off/close out, picking up approved roles and transferring to critical roles, cross checking against headcount file, in headcount file – if new or existing role.

Onboarding/Offboarding, receive ‘New starter notification form’ – review form, make changes where required, select, add in buddy, contact buddy for approval, send out notification to email to respective stakeholder, do buddy calendar invite with buddy and manager, update headcount file with new starter details, add in user details into ELMO and assign onboarding workflow to the new starter. Extract report to provide to Social Inclusion and Procurement on diversity.

Post onboarding survey – create user profile, send out survey, follow up, review (currently in Culture Amp). Add onto or chart. NOP requirements – contact Manager, make sure first day/inductions are booked in and completed. Monthly reports, Trainees and Cadets – follow up on information in relation to social inclusion, studying details, expectations following course, followed up on a monthly basis by Alliance D&I team.

Headcount stats – across NOP’s and RPV, new starters, DAIS employees, movers and leavers and open requisitions to go to Alliance D&I team. Performance Development Reviews, annual follow up on completion of PDR’s, PRP’s, PMP’s for all employees. Digital Command Centre, updating movers and leavers in the K-drive in headcount file and resourcing, including voluntary/involuntary, reason for leaving, regrettable etc.

Liaise with the team in the preparation and distribution of correspondence. Assist in the presentation of contracts and other technical documents as required. Record labour hours and ensure timesheets are received and processed in a timely manner. Liaise with and follow up with key stakeholders.

About you general business knowledge to plan, organize, and control resources, procedures, and timing for an administrative or business process. Experience in the application of the various project administration and management software packages. Excellent in Microsoft Office Suite.
