Guest Relations Officer Ampersand International location Sydney.

This is a unique opportunity for a Guest Relations Officer to join one of Australia's largest not-for-profits organisations on a part time basis. This position sits within the Venues Team. It has responsibility for being the key contact person for guests, providing helpful and efficient communication with guests before and during their stay at the Venue.

Key responsibilities this role will take responsibility for the following areas guests. General reception and administration duties. Recording Venue bookings, generating booking contracts, letters and invoices. Follow up overdue deposits and booking contracts. Prepare pre-arrival information for guests. Build relationships with guests, coordinate site inspections for potential guests and ensure all needs are met while staying at the venue.

Conduct group welcome-in talks in a positive manner with clear, concise, essential information. Allocate accommodation and meeting rooms for groups, and accommodation for individual guests. Manage, maintain and update guest compendiums as required. Local staff Ensure that the site manager and all staff are clearly informed of site activities so that guests needs are met. Issue housekeeping schedules to cleaning staff.

Prepare the agenda and take minutes of regular supervisor meeting, distributing action items arising from the meetings in a timely manner. Provide detailed, accurate and updated forward plans to assist staff with the ordering of relevant materials/ assembling of equipment required. Compile and update all relevant contact details for staff, contractors and emergency numbers. General administration and miscellaneous.

Maintain stocks and display of brochures, posters, mission statements and other corporate/identity items. Manage guest lost property. Administer orders for uniforms and staff name badges. Process and prepare monthly reports. Manage stock and ordering. Organise quotes and times for contractors to come in for any maintenance and repairs. Perform additional administrative duties as required by site manager.
