General Office Administration Assistant Just Better Care location Horsham.

Just Better Care provides in-home aged care and disability support services, supporting people to live independently. We are currently looking for a 0.8 EFT to Full Time General Office Administration Assistant to join our Western Victoria team. The position is based in Horsham.

Job purpose general Office Administration Assistant is an office all-rounder. This position provides administration support to key areas of the organisation including People & Culture, Client Services and Finance.

The role will also assist in reception and provide support to the General Manager when required. The General Office Administration Assistant role is crucial is ensuring identified departments operate in an efficient and timely processed driven manner. Excellent communication and time management skills are essential for this role.

Main duties assists with the recruitment process by reviewing position descriptions selection, advertising roles, scheduling interviews, communicating with applicants and supporting hiring managers in assessing applicants.

Assist in the delivery of day to day human resource activities including on-boarding, orientation and other documentation involved in establishing new employees. Provides support with performance management including probation reviews, performance reviews & performance management processes.

Assist with staff training & development including: identifying and documenting staff training needs, coordinating skills assessments, coordinating/facilitating training as required, developing annual/quarterly training plans, LMS user administration & reporting.

Assist in ensuring employee records and maintained accurately and in a timely manner, and confidentiality is protected where required. Assist with ensuring employee compliance records are kept up to date at all times.

Support culture and workplace activities such as cultural initiatives, internal communications, employee feedback surveys and pulse checks. Assist in the timely and accurate processing of weekly payroll, in accordance with legislative requirements.

Maintain employee records / personal files on payroll related matters. Ensure all accounting data entry is entered accurately and in a timely manner. Assist in accounts receivable process including Bank Reconciliations (and credit card where appropriate) on a regular basis to check the integrity of the data input.

Assist in the management of debtors to effectively mitigate any losses. Assist in the maintenance of company accounting files, whilst adhering to Just Better Care’s financial management policies and procedures. Adhere to all relevant policies and procedures in accordance with Just Better Care’s Business Operating System (BOS). Complete reports as necessary.

Provide administrative support to ensure that Just Better Care’s operations are maintained in an effective, up to date and accurate manner such as typing correspondence, data entry (MYOB/Procura & LMS), prepare reports and other documents, maintain office files, open and distribute the mail, taking minutes at meetings, distributing minutes and coordinate repairs to office equipment.

Provide receptionist services such as greet and assist visitors, answer phones and direct calls and respond to inquiries. Perform other related duties as required.
