About the service Te Whatu Ora – Health New Zealand Waikato’s fleet management team is so much more than vehicle compliance. The multitude and variety of community based services at locations all across Waikato need a highly skilled problem solving team to support their vehicle resources and ensure their ability to deliver medical services to the community in need.

In addition, every single one of our drivers needs to be safe, supported, and trained in accessing the resources they need to deliver their roles. This is where we need an admin superstar to help us to support them to continue the excellent community work they do.

About the role this role is varied with multiple services and so many drivers to support. We have almost 500 vehicles and over 3,000 drivers to provide support for, and multiple policy related requirements for the utilisation of our fleet.

Responsibilities of the role support the Fleet Operations Supervisor and Project Director to ensure 100% vehicle maintenance and compliance. Maintain relationships with key suppliers in the region to deliver our centralised resource rotation model.

Undertake administration in relation to our booking system including updating vehicle locations in line with rotations co-ordinated with suppliers. Providing basic user training for all drivers. Support all drivers with booking issues and check-in/check-out as necessary.

Approving overnight residential location bookings and filing approvals. Maintain database of pre-approved overnight on-call staff and vehicle storage locations. Co-ordinate immediate resource exchange for damaged vehicles in all bases.

Follow up drivers to ensure all claims are submitted by the following business day. Maintain a database of cleaning rotations for vehicles. Assist with the coordination of the return of end of lease vehicles. Assist with arrangement of short-term need vehicles.

Required skills & experience ncea Level 3 or Proven equivalent business experience. 3+ years in busy administration & customer service environment. Demonstrated ability to provide basic user training and support.

Self-starter with strong problem solving skills. Exceptional attention to detail and accuracy. Excellent rganisational, administrative and time management skills. Proven ability to communicate effectively with team members to make decisions under pressure in complex situations.

Ability to coordinate multiple competing priorities. High level and sophisticated critical thinking skills. Advanced operational knowledge of the entire Microsoft Office suite. Experience in an administrative or customer service role, confidence in de-escalating frustrations from customers or peers.
