The role this role provides efficient and effective support to the Finance and Operations team and coordinates many of cbm’s cross-departmental functions. This includes office systems, donor finance admin, logistical assistance for the International Programmes team and executive assistance duties for the CEO. The role will be vital to enable timely and well supported delivery of organisational objectives, and integrity and coherence of systems across the organisation.

Reports to Finance and Operations Director Position type Part time (20 hours per week, negotiable);  Permanent Functional Relationships cbm staff teams (Finance and Operations, International Programmes, Fundraising/Engagement); CEO;   International partners in the Pacific, Asia and Africa. Location cbm New Zealand Office:  112B Bush Rd, Albany, Auckland.

Areas of Responsibility and tasks area Task Office and Business Administration. Manage organisation-wide processes and tasks, including: bookings, organisational calendars and contact lists; printer reports; document storage. Effective liaison with suppliers, including: stationery, office suppliers, cleaners, disposal, courier, etc.

Oversight of fire warden training, fire alarm tests, first aid kits. Reception duties and other tasks from time to time to ensure smooth operation of the organisation. Enabling office culture. Manage cbm’s learning zone and staff meetings schedule. Arrange logistics for meetings. Assist with event co-ordination. Assist with admin of new volunteers as needed. Donor finance/admin/ finance/back-ups.

Assist with processing telephone donations (through Windcave). Opening and processing mail; banking and post. Data clean ups. Donor tax receipts. Back up phone follow-up on missed donations from donors. Maintenance of spreadsheets for donor finance.

Programmes admin assist with travel logistics for those travelling on behalf of cbm (booking flights, visas, accommodation, etc) and for international visitors to New Zealand. Support in Health, Safety and Security procedures (coordinate training, maintaining travel record, safety equipment, and travel kits). Assist with admin and finance for cbm NZ’s management of Pacific programmes, including supplier verification due diligences, and support with logistics for shipment and supplier communication.

Compliance and assistance functions for CEO Support the CEO to manage work flows, including collating reports across the organisation for Board reporting; Minute-taking as required. Arrange bookings for Board meetings, travel, food and accommodation; Manage Board reimbursement claims. Manage processes for policy maintenance, Code of Conduct and Health and Safety compliance.

Act as Health and Safety Officer, manage H&S plan and bi-annual office inspection; Oversee staff First Aid attendance. Liaise with body corporate around any building issues / compliance. Manage cbm’s Environmental and Accessibility plans. Compilation of reports on any complaints from donors and partners.

Skills and experience proven organisational and coordination skills and the ability to prioritise tasks and follow through to completion. Suitable experience in office administration. Sound computer skills, including competence in major MS Office applications. Excellent written communication skills, including the preparation of correspondence, reports and minutes of meetings.

Basic understanding of accounting and financial management. Ability to develop and constructively manage high quality relationships with internal and external stakeholders. Understanding of, and interest in, the not-for-profit and/or disability sector.
