We’re looking for a proactive and experienced Facilities and Administration Coordinator to take ownership of day-to-day office operations and ensure a safe, functional, and welcoming environment for our people and visitors.
Reporting to the Business Support and Facilities Supervisor, you’ll manage a small team of both onshore and offshore staff, oversee the head office front-of-house operations, vendor coordination, compliance tasks, and support office events and ad hoc projects.
Key Responsibilities
Lead and support the front-of-house and facilities team (onshore & offshore)
Manage daily operations including reception overflow, maintenance, access, and supplies
Coordinate with vendors for services, repairs, and events
Ensure compliance with safety standards, conduct regular floor walks, and manage reporting
Oversee recurring facilities tasks including lease billing, office moves, catering, and audits
Raise purchase requests, code invoices, and manage supplier relationships
Facilitate travel bookings, camp bookings, and support corporate event set-ups
Communicate office updates via internal platforms (e.g., Viva Engage)
Employee Support: Respond to employee queries related to facilities/office issues.
Process Improvement: Identify opportunities to optimize Facilities workflows, support Facilities initiatives, including system implementations and change management programs.
What We’re Looking For
3+ years in facilities, office coordination, or similar roles
Strong customer service and stakeholder engagement skills
Strong organizational and multitasking abilities.
Proven experience managing a small team
Solid understanding of OH&S requirements and building operations
Confident using systems like Gallagher, SAP, Ariba, and Microsoft Office
Ability to manage multiple priorities in a dynamic environment
Excellent communication and problem-solving skills.
Attention to detail and ability to maintain confidentiality.
