We are seeking a proactive self-starter/problem solver, who can turn big picture ideas into successful and creative outcomes. Someone who can strongly support the CEO and utilise your critical thinking skills and adaptability to initiate well planned/organised and successful events and daily operations.

To be successful, you will have strong attention to detail, be experienced with Board interactions (including minute taking) and create efficient ways of working. We now have an exciting opportunity for an experienced Executive Assistant reporting to our Group CEO at our Eight Mile Plains office. The role will start ASAP for the right person. In this busy and filled with purpose role you will be providing executive support to the CEO of Multicap, ensuring the effective use of people’s time, interactions, resources and information, enabling positive and professional interactions with all stakeholders.

Primary purpose the Executive Assistant’s primary responsibility is to provide confidential and professional administrative support to the Group Chief Executive Officer (CEO). This includes the planning, organisation and coordination of tasks and functions required in the Office of the CEO. The role also leads the reception team and includes an element of support to the General Counsel/Company Secretary and Executive Leadership Team of the Multicap Group.

Key responsibilities coordination of all Executive Leadership Team meetings including minutes, appraisals, supervision and relevant team activities. Support the CEO to prepare documents and reports for internal and external stakeholders, including the Multicap Board and Committee’s, and all subsidiary Boards.

Coordinate meetings and workshops on behalf of the CEO including arranging venues, catering, preparing agendas, distribute papers and minutes, setup room, and enabling video or teleconferencing facilities. Effective management of recording, filing, storage and retrieval of correspondence, corporate records, documents, reports, and registers relevant to CEO, Multicap Board and Committees, all subsidiary Boards and management processes.

Coordinate the Office of the CEO functions including the supervision of reception staff, organising cover for Reception (breaks, annual leave and sick leave) and achieving a professional and continuous front office presence during office hours.

What will you have to be successful in the role strong analytical and problem-solving skills. A positive attitude towards people with disabilities and the willingness to work within Multicap’s Values and Code of Conduct in order to meet our customers’ expectations.

Demonstrated excellent technology skills including use of the MS Office suite of products, databases, reporting, electronic document management, administering corporate records and digital communications. Excellent written and verbal communication and interpersonal skills with a strong focus on attention to detail. A continuous improvement mindset.

What will you need cert IV or higher in Business Administration or similar (desirable). A current QLD Driver’s Licence. NDIS Worker Screening Clearance (Yellow Card)– or be willing to obtain. Working with Children Check (Blue card) – or be willing to obtain. Up to date COVID-19 Vaccinations.
