Your role we are seeking a motivated executive assistant to provide high quality administrative and clerical support to the Deputy Secretary of Court, Tribunals and Service Delivery within the Department of Communities and Justice as well as to the small Office of the Deputy Secretary team.

What you'll do assist with diary management, meeting and event coordination, daily routine correspondence and overall support to the Deputy Secretary and their team to ensure the seamless operation of the unit. Action and respond to queries in a timely manner.

Maintain effective channels of communication, analyse requests, filter correspondence and prioritise urgent and often sensitive matters. Maintain records and databases by ensuring information is current and updated. Coordinate meetings including preparing agendas, organising venues, catering and distribution of minutes and associated papers to contribute to the smooth running of meetings.

You must be able to manage competing priorities, providing consistent high levels of support, whilst maintaining confidentiality with the nuance to act with discretion when required. Flexible working arrangements are available, with the Deputy Secretary working from DCJ's office at 66 Goulburn Street, in Sydney CBD.

What we're looking for proven experience working in a similar position where confidentiality is of the utmost importance. Be a respectful, concise, and articulate communicator to manage key stakeholders both internally and externally.

Sound skills in planning, time management, and organisation. Exceptional interpersonal, communication, and organisational skills. Whilst previous experience working in a Government Office is not a requirement, knowledge of Government policies and procedures will be highly regarded.

High attention to detail with the ability to maintain accurate and detailed records. Confidence and ability to work calmly and effectively in a fast-paced and dynamic work environment. Proven ability to show initiative, set priorities and work within a team and independently under minimal supervision to meet deadlines. Proficient in Microsoft office and record management systems.
