Our Projects Infrastructure and Construction Team. The Project Infrastructure and Construction practice group is part of the Infrastructure Construction and Property Line of Business. Our construction team provides end-to-end legal support on infrastructure projects - from project structuring and advice on procurement options, financing, tender strategy and contract documentation and negotiation, through to contract administration, maintenance issues and dispute resolution. We have assisted governments, consortia, financiers and subcontractors across the full spectrum of project delivery.

Our construction and infrastructure team has built a market-leading reputation as key advisers on domestic and international major projects and transactions across a wide range of industry sectors.

Your role an exciting opportunity exists for an experienced Senior Legal Executive Assistant within our Melbourne Projects, Infrastructure and Construction team. This role is a full time permanent position, supporting a senior partner and providing high quality administrative support to enable this busy team team to deliver market leading legal and consulting services. This would be a fantastic opportunity for an experienced high performing secretary/assistant with solid experience in a corporate law firm environment.

As a key addition to this team, some of your responsibilities will include file and document management, including matter opening and closing, matter administration management, electronic and physical filing, scanning, printing, photocopying and archiving. Document production to a high standard in Word, Excel PowerPoint, OneNote and others within ME Style Guides. Format, make amendments and proofread documents with a high level of accuracy.

Proactive client contact management, maintaining client databases and key contact information. Manage client specific and complex billing requirements, including client/matter reporting. Assist with general financial hygiene including timesheet entries/modification, debt collections, voucher requests, client monies, client reporting. Arrange general and trust account receipting and disbursing of funds.

Make required travel arrangements and amendments to bookings within policy and cost guidelines. Reconciling corporate expenses. High level diary and calendar management including coordinating and organising meetings (internal and external), monitoring emails and taking telephone calls. Other general administrative tasks and ad hoc duties as required.

What you need we welcome applications from experienced high performing secretaries who possess excellent prioritisation and organisational skills. High level of accuracy and attention to detail. The ability to clearly and confidently communicate at all levels. Advanced MS Word skills, including document creation and presentation.

Strong understanding of MS Office applications, including Word, Excel, PowerPoint, Teams and other software. A demonstrated commitment to high internal/external service standards. An adaptable and flexible nature. A proactive approach and high levels of initiative.
