About the vacancy we are looking to fill the position of Executive Assistant with a candidate who is experienced and well-versed with office management, customer relations, can establish efficiency in business operations and able to build and/or upgrade our internal system. The position provides a high level of executive support to our Principal and Head of School.

You will step into the leadership role in managing other staff members and have the opportunity to apply business-minded thinking and have the ability to derive innovative ideas for implementation. By having a comprehensive understanding of our school, both externally and internally, you will provide business support and/or advice to our Executive team.

Responsibilities and duties implement and review school policies, procedures and systems and devise ways to streamline processes to increase efficiency. Provide assistance to the School Executive (Principal and Head of School). Record meeting minutes of all meetings of our School Executive. Ensure the implementation of all ideas from School Executive.

Assist with scheduling appointments and arranging meetings for School Executive. Planning, organise and supervise our school events (Open Days, Awards Night, Parent-Teacher Interviews, Orientation Day, Fundraising Dinner, CAPA Night etc). Ensure operations adhere to policies and regulations. Keep abreast with all organisational changes and school developments.

Evaluate and constantly review areas of improvement and innovation. Undertake professional development activities that may include monitoring, coaching, contribute and assist with business improvement and development initiatives. Analysis the School’s performance and provide ideas to improve operations.

Applicant selection criteria minimum 3 years of experience as an Executive Assistant. Excellent people skills, both written and verbal. Typing speed at least 90wpm. Extremely organised, thorough and excellent attention-to-detail. Ability to multi-task and prioritise workload, and works well under pressure. Able to work in a team and individually and able provide guidance to other staff members. An ability to build and maintain relationships with a variety of stakeholders, including Board Members, the Executive Team, staffs, volunteers, students and parents with a view to enhance the School’s culture, in line with Strategic Plan. Display a consistently high standard of ethical conduct, exhibiting honesty, integrity and accountability. Highly proficient in the use of the Microsoft suite.
