About the opportunity reporting to the Deputy Operations Manager, the role of Domiciliary and Covid Administration Officer is one of the primary points of contact for Domiciliary and Covid bookings and enquiries. This role provides phone support to patients and clients in relation to bookings and services. You will also be providing administration support to the Aged Care and Covid teams, as well as the Operations Supervisor. This role will suit a person who is willing to be flexible and adaptable to change with the availability to be rostered between Monday to Sunday, 7am to 5pm.

Duties Telephone management provide a positive first impression and experience for all over the phone client enquiries and endeavour to apply first call resolution where applicable without unnecessary telephone call transferring.

Attend and log into the ACD telephone queue at the commencement of each shift; ensuring that telephone calls are answered within three rings; and maintain maximum login times during the course of the shift. Practice all aspects of good customer service skills including telephone. Ensure compliments and complaints are handled in a professional manner and logged using the electronic quality system.

Bookings preparation and management of patient bookings. General advice to patients regarding booking requirements. Preparation of paperwork to support domiciliary visits. Management of recollects, including appropriate consultation with patients and medical practitioners. Assisting domiciliary plotter as required. Rearranging domiciliary visits and bookings via Apollo. General support for domiciliary staff.

COVID managing incoming queries in relation to COVID services. Assisting to allocate domiciliary staff or Residential and Aged Care collections. General administration tasks associated with COVID. COVID hotline management, inclusive of drive through and mobile bookings. Supporting COVID operational staff as required. Other duties as required.

General refer all queries or problems or issues outside of your area of competency and confidence, immediately to the Supervisor. Refer all doctor complaints to supervisor or after hour’s supervisor. Appropriately, trained and experienced staff may partake in the training of others. General administrative support for Pre-Analytics department as required. Applicants should possess the following high level of interpersonal and communication skills with exceptional phone etiquette.

Self-directed, energetic and motivated to achieve agreed outcomes. Ability to interpret instructions and provide feedback to ensure systems, procedures and processes are maintained at the highest standard. Ability to prioritise work and meet deadlines. Good attention to detail and strong time management skills. Demonstrated excellent customer service; and you will be required to receive the Covid 19 vaccination, booster and provide certificate in order to perform this role.
