About the role the Administrator will support the Sales and Candidate teams to ensure a smooth recruitment process for both our candidates and clients. Our administrator position is a unique opportunity to learn the ins and outs of a recruitment agency from an operational standpoint. Even though the role is recruitment centric, you will learn and gain experience in a wide range of tasks that are transferable across many industries.

Key responsibilities working with the recruitment consultants - arranging interviews, sending out interview confirmations via email. Help with formatting resumes before information is submitted to the client. Manages the onboarding of all new talent and ensures that all required internal paperwork, client specific paperwork, and pre-employment screenings are complete and compliant prior to the start of talent's assignment.

Will ensure compliance with all HR policies, background checks and employee file retention. Review new client agreements to determine customer setup needs and make changes to existing customer's setup when necessary.

Initiating onboarding activities, communicating consistently with candidates throughout the onboarding process, to manage requirements and expectations. Maintaining an accurate Vendor Management System to ensure accurate contingent worker data, contract terms, extensions and terminations.

Maintaining regular communication with contingent workers throughout their assignment, assisting with timecards, expenses, payroll submissions and approvals. Monitoring contingent labor worker rights and local legislation i.e. Right to work (Visa), regulatory screening and collecting renewal documentation as required.

Support stakeholders/contractors in the use of the payroll/timesheet system. Responsible for confirming that all talents timesheets are submitted, approved and received by central payroll for processing. First point of contact for employees regarding any payroll queries. This varied role involves recruitment administration from preparing contracts. Assist with day-to-day operations administration including customer and candidate enquiries.

You have excellent knowledge of English (spoken and written). You are able to multi-task and manage priorities while working in a fast-paced environment. Have a keen eye for detail and efficient time management skills. Experience using Microsoft Suite including Word/ Excel/ PowerPoint/ Outlook.  Technology savvy or willing to learn.
