WAHRLFC Administration Officer is the chief administration officer of WAHRLFC. The Admin Officer provides the coordinating link between the WAHRLFC members, Executive Committee and other stakeholders. The admin officer reports directly to the WAHRLFC Coaching Director and indirectly to the WAHRLFC Executive Committee.

The Administrative Officer provides a comprehensive range of high-level administrative and customer service support functions and will work closely with members of WAHRLFC Community and is responsible for assisting with the day to day running of WAHRLFC.

Administration deliver administrative support functions such as answering phones, photocopying, scanning, filing, data entry and general management of records alongside utilising relevant systems, procedures and organisational methods to ensure continued office efficiency. Ensure all WAHRLFC accounts and bills are submitted in a timely manner.

Monitoring the WAHRLFC email inbox, and responding to enquiries in a timely manner. Manage the flow of incoming and outgoing correspondence of the inbox and initiate follow up actions where necessary. Ordering of office supplies. Supporting our WAHRLFC Coaches and Managers with administrative assistance when required. Receipt and deposit all monies received in timely manner.

Player and Staff registration support the registrar and treasurer with player registration dates and events. Maintain WAHRLFC MySideline ensuring that all details are up to date and with regular downloads of information provided to committee.

Ensure all player and staff details are up to date in accordance with WAHRLFC guidelines. Prepare, process and monitor all player and staff transfers utilising the club and regulatory bodies computer programs and systems with assistance from Coaching Director. Ensure all transfers are in accordance with WAHRLFC and regulatory body guidelines.

Game Day Operations. Play a key role in the planning and delivering of game days and events. Prepare WAHRLFC game sheets each Friday morning in accordance with WAHRLFC and regulatory body guidelines. Ensure all teams have uploaded their playing rosters in accordance with MySideline and League guidelines.

Update and upload WAHRLFC game sheets and scores each Sunday afternoon in accordance with WAHRLFC and regulatory body guidelines. Prepare and email WAHRLFC finalised game sheets each Sunday afternoon in accordance with WAHRLFC and regulatory body guidelines.

Other requirements finalise the WAHLFC weekend canteen takings and perform banking function with a WAHRLFC Executive Committee member. Build and maintain effective relationships with WAHRLFC Executive Committee members, staff, players, parents and volunteers.

As requested by the Executive Committee, attend regulatory body meetings relevant to this position during the season. Adhered to all legal privacy and financial governance regulations and ensure these requirements are implemented. All other reasonable duties as directed by the WAHRLFC President, Executive Committee and Coaching Director.

Competencies high level of organisational skills. A self-motivator, who achieves results autonomously or via teamwork. Advanced knowledge of the Microsoft Office Suite and Xero accounting software. A proven ability to work to deadlines, in an at times fast-paced environment with the ability to multitask and prioritise. Customer service and administerial background.

Demonstrated high-level communication skills, both written and oral, as well as relationship skills to maintain effective relationships, and build new relationships, with volunteers. Solid skills in the Microsoft suite of programs with high level of experience with excel.
