Administration Officer The University of Sydney location Sydney.

Part Time / Job Share, 2 continuing roles. Provide a wide range of administrative and operational support to the Discipline of Marketing. HEO 5, Base Salary $84,481 - $87,420 pro rata + 17% superannuation.

About the opportunity we are seeking Administrative Officers who will provide excellent administrative support to the Discipline Executive Officer (DEO) and the Head of Discipline of Marketing and be engaged members of a larger administration team of the Business School.

The Administration Officers work under general supervision from the DEO and provide a wide range of administrative and operational support to the Discipline such as HR processes - including permanent and casual staff hiring, Concur and UniBuy transactions, ordering office equipment and stationery, managing meetings and minute taking, managing events of the Discipline including catering management and using SwiftDigital to manage invitations and registrations; meeting room bookings; timetabling of Units of Study; managing student appeals; assisting with exam processes including collection and distribution; responding to staff and student enquiries and other tasks.

As the first point of contact for all staff and students, this role requires excellent communication, administrative and organisational skills, attention to detail, ability to foresee issues and work out solutions in collaboration with the DEO; to plan and anticipate tasks in order to coordinate and prioritise well to complete a wide range of operational activities.

The incumbents also have to have the ability to work well together as a close-knit team to ensure continuity and completion of shared tasks. This role is open to Part-Time / Job-Share opportunity (2 and 3 days). Please state your preference in your application for number of days a week and which days.

Your key responsibilities, which include the major tasks above, will be to provide Discipline specific administration services and operational support. Provide general day-to-day administration support to the Discipline and ensure continuous improvement of administrative processes. Manage Discipline resources and staff building access. Maintain Discipline website and social media. Undertakes ad-hoc projects and other activities.

About you you enjoy working as part of a team and possess excellent communication skills and administration skills, preferably in a tertiary environment.

You use sound judgement and utilise effective and tactful verbal and written communication and possess other skills as follows advanced skills with Microsoft Office, Concur and UniBuy and experience with Workday, Timetabling, Canvas and Swift Digital.

Exercise initiative and strong problem-solving skills. Ability to understand and manage your tasks and plan appropriately. Continuously assess and make suggestions for improvements to administrative practices and processes.

Ability to work well as part of a team as well as independently and develop productive relationships with senior academic and professional staff across the discipline and the business school. Excellent time and workload management skills with the ability to manage interruptions and changes to work priorities to achieve deadlines and required outcomes.

Experience in handling a wide range of enquiries and providing excellent customer service. Ability to work well in job-share situation, ensuring communication is clear and tasks are shared equitably and performed to completion.
