About the rolethe Administration Officer supports the daily operations of the Department of Finance, with a focus on the provision of services to academic members of staff in the conduct of their activities and duties.
As a key member of the Department’s professional services team, the incumbent will work flexibly and collaboratively with professional and academic colleagues to coordinate the planning, delivery and review of administrative processes.
Responsibilities include providing department academic staff with advice and assistance regarding the reconciling, coding and preparation of paperwork in relation to purchasing cards and claims for reimbursement from visitors, contractors, students and staff.
Preparing and executing Independent Contractor Agreement paperwork for services provided to the Department. Coordinating resource allocation, including equipment and physical working space, for academics, visitors, executives-in-residence and PhD students. Administering the PhD student travel process including booking of travel and accommodation.
About you your highly developed organisational and time management skills enable you to meet deadlines and prioritise workloads in order to ensure timely delivery of services. Your interpersonal and communication skills allow you to present complex information clearly, and develop strong working relationships with key stakeholders.
You will also have a degree in a relevant discipline with substantial relevant experience or an equivalent combination of relevant experience and/or education/training. A high level of initiative and drive with a demonstrated ability to identify, develop and implement solutions to complex problems or new opportunities for improvement.
Ability to interpret complex regulations and provide advice on policies and procedures to staff at all levels. Demonstrated experience and commitment to providing a high level of customer service with an ability to exercise judgement, deal sensitively with staff at all levels and to ensure that confidentiality is maintained at all times.
High level problem analytical skills with the ability to exercise sound judgement and initiative. To ensure the University continues to provide a safe environment for everyone, this position requires the incumbent to hold a current and valid Working with Children Check.
