Administration Officer 989FM location Brisbane. $55,000 - $59,999.

The administration officer will be responsible for providing reception, administrative support, and working towards providing a professional service to support effective service delivery and day to day functions.

The role will provide reception to ensure a smooth running of the building, greeting and signing guests and visitors in and out of the building.  The Receptionist is the first point of contact with the public, as such it is essential that you are pleasant, courteous, highly professional and able to interact with a wide and diverse group.

The role also requires other administrative duties under the direction of the Head of Business Services; Including building management, coordinating contractors, seeking quotes for building management maintenance, organising office supplies, learning and supporting the payroll process and other administrative duties.

Organisation triple A is a not-for-profit community-controlled multimedia organisation based in the heart of West End, Brisbane. We pride ourselves as one of the largest Indigenous Community-Controlled media organisations in the country.

Established in the late 1980’s Triple A started as a radio station, creating a platform to share our stories, perspectives and experiences. Triple A has four primary operational divisions triple A, Murri Country has been broadcasting since 1993 via 98.9FM and now have over 10 programs per week that broadcast in South-East Queensland and across the world through digital and streaming networks.

Triple A Vision, our very own internal video production house and TV Studio, Triple A Vision. We are driven by storytelling as an Indigenous specific creative agency, specialising in multimedia campaign development.

Triple A Training, provides pathways to accredited training in media. We also deliver a suite of non-accredited short courses in media through radio, podcasting, film and video and social media.

Recently, Triple A launched an events division, specialising in community events, festivals, and conferences; creating an opportunity to bring people together and galvanise community through events.

About you you have a strong connection and understanding of Aboriginal and Torres Strait Islander culture. You are friendly, pleasant, courteous, highly professional with the ability to engage and make people feel welcome.

You are highly organised with the ability to work with internal staff across the organisation and external stakeholders, guests and visitors. You have the ability to contribute to a supportive workplace culture where Aboriginal and Torres Strait Islander culture is valued at the core.

Core skills, qualifcations and competencies demonstrated ability to communicate effectively with First Peoples of Australia. Strong administration, coordination and time management skills. Knowledge of Xero Software.

Ability to prioritise and manage multiple and completing work tasks and deliver to agreed timelines. Ability to work independently, with limited supervision. Strong customer services skills. Experience in Office Administration.

Advanced computer skills including word documents, spreadsheets and database applications. Courteous with high level of professionalism, confidentiality and discretion. Strong administration and coordination skills. Highly organised.

Key duties and responsibilities administration coordinate incoming and outgoing mail/deliveries. Ensure adequate supplies of consumables, such as stationary, printers & kitchen supplies.

Maintain Security access – Log & Issue all visitors/guests with a swipe card or visitors badge, keeping an updated register where required, in consultation with the ICT Manager.

Maintain building management plan, development of building maintenance issues log, liaise with contractors as part of building management/regular maintenance, source quotes etc. Building facilities; coordinate and administrate building facilities such as board room, TV and recording studios, training room etc.

Maintain equipment, booking requests and ensure the facilities are tidy and presentable. Coordinate information required for internal Triple A newsletter including engaging with all Heads of Divisions and building tenants to gain information to be collated.

Learn and support the Head of Business Services in payroll processes. Record keeping and file management. Data entry as required. Undertake duties as directed by Head of Business Services.

Reception duties including answering phones, screening and directing calls to relevant person in a prompt and courteous manner. Meet and greet visitors providing an exceptional customer service making them feel welcome with refreshments etc.

Provide relevant information to our callers/listeners/clients. Ensure the staff movements in and out of the organisation.
