About the role health & safety legal (hsl) sits within worksafe’s legal & governance division. Hsl provides expert legal advice on compliance and enforcement activities under victorian occupational health and safety laws. The team also manages a civil litigation practice arising in relation to these activities, primarily in the field of administrative review, including before the coroners court.

The administration officer will be responsible for the provision of timely and professional administrative support to legal and paralegal staff within HSL, and will be the primary point of contact for internal and external stakeholders.

Key accountabilities provide high level administration support, implement and maintain internal processes, policies and procedures to ensure that HSL operates efficiently and effectively and manage general enquiries. Provide administrative support to legal and paralegal staff to collate and produce documents for legal proceedings and in response to interagency requests for information.

Conduct database searches and process requests for advice and new court or tribunal applications. Update and maintain databases, advice registers, reports, process documents and team guidance, including co-ordinating with stakeholders to complete these tasks.

Monitor team inboxes, team calendars maintain and update HSL financial spreadsheets/records and manage requests for payment. Support HSL in the conduct of its advice and litigation practices in a timely and professional manner, under the supervision of legal and paralegal staff, including gathering and collating relevant information.

About you you are an experienced administration professional, with excellent attention to detail. You have well-developed interpersonal skills, including good verbal and written communication, the ability to develop positive relationships and manage conflict.

Additionally, you will possess the following skills and experience excellent time management and organisational skills, including the ability to meet strict timeframes and prioritise work. Demonstrated experience providing administration support in an environment of internal and external stakeholder pressures.

An effective team member, with the capacity to deal with a wide range of responsibilities and ad hoc tasks as required. Proficiency in all Microsoft Office products, in particular Access, Excel, Outlook, OneNote, MS Teams, Powerpoint and Word.

Proficiency in database management applications, including customer relationship management applications and TRIM/WSDoM. Highly Desirable. Understanding the legislative framework in which WorkSafe operates. Understanding of Lotus Notes.
