Administration Coordinator RSPCA NSW location Sydney.

As an RSPCA NSW Administrator Coordinator, you are responsible for a broad range of administration services to ensure the efficient functioning of the Facilities and Office & Property Services Department.

There will be a requirement to travel to RSPCA NSW properties and other shelters/sites which may involve an overnight stay at times. Travel is to be completed using the RSPCA NSW onsite share vehicle.

About the role coordinating office services – including, but not limited to, ordering and maintaining supplies and equipment. Administering resource allocation, including meeting rooms and pool vehicles, and implementing improvements and changes where required. Overseeing the work of internal housekeeping and contract cleaning and ensuring that safety, operational and quality standards are met.

Procurement of goods and services and liaising with contractors/suppliers. Assisting Facilities and Office Property Manager with contract administration such as document control, developing, interpreting, reviewing, negotiating and managing contracts for office services and property contracts.

Maintaining relevant contractor management systems & scheduling programmes. Maintaining Office & Facilities documents (Filing system). Administering security access systems including creating and updating access passes. Assisting with site and office relocations and fit-outs.

Processing of all invoices, ensuring that costs are assigned to the appropriate cost centre and expense type. Managing the RSPCA NSW E-Toll account, including payments, allocation of E-Tags. Updating the RSPCA NSW car fleet asset list. Travel to RSPCA NSW properties and other shelters/sites, which may necessitate in an overnight stay at times. The RSPCA NSW onsite sharing car will be available to use for these journeys.

About you 2 years’ experience in a similar role. Experience with MS Word, Excel and SAP Concur. Strong communication skills both written and verbal. High level of attention to detail. Ability to work autonomously and in a team environment. General office management skills. Ability to adapt to changing priorities. Unrestricted NSW driver’s license.
