Seeking a motivated and customer service savvy Administration Assistant who will be reporting directly to our Senior Administrator and Directors. Based in the Brisbane Head Office in Geebung, this is a fast-paced role and integral to the operation of the business.

You will be required to field incoming phone calls from a diverse retail and general public customer base and assist in booking job schedules, data entry and general administration. You will be required to complete accurate document control and contribute a high level of customer service.

The advertised position is Casual, 16 hours per week, increasing to 24 hours a week in the future. The role is Monday 8 hrs, Friday 4 – 8 hrs. Other day/s negotiable.

Duties of the role professionally answer incoming phone calls and emails in a timely manner with a high level of customer service. Promote and provide our services and cost to internal and external stakeholders. Ensuring reporting correct data entry and notes from client and stakeholders interactions. Co-ordination and scheduling of client and customer service calls and assist managing work orders and workflow for Technicians.

Liaising with retail customers and clients to confirm bookings. Providing job contacts & detailed notes in job bookings for field staff. Track Technicians and field staff job progress and travel times throughout the day to ensure job schedules are successful and managed on time. Proof read reports and materials prior to being issued to clients. Prepare quotes and invoices to be sent to the client via system Servicem8.

Follow up overdue invoices using templates in Servicem8 and liaise with management on progress. Process client credit card payments via Stripe payment system accurately. Maintain and improve work management systems, ServiceM8 accurately and time efficiently. General administration Ad hoc duties including, preparing project claims, maintain office/paint stock register, filing, assisting for social media creation. General administrative support for the Senior Administrator, General Manager and Directors, always ensuring strict confidentiality. General Office cleaning.

The successful candidate ideally 1 years previous experience in a similar administration position. Understanding of scheduling within a Civil or Commercial Trades space will be highly regarded. Confident user of MS Office (Word, Excel, Outlook and Teams). Experience in using XERO Accounting and ServiceM8 systems will be highly regarded. Good communication skills and strong attention to details.

Self-management skills to work autonomously or as part of a remote team when required. A desire in continuing to develop your skills in Customer relationships, Scheduling, Planning and Marketing. Ability to always ensure maximum office discretion and confidentiality. Ability to multitask and prioritise workflow within a varying and changing industry.

Strong analytical and problem-solving skills. Possess outstanding interpersonal, verbal, and written skills (fluency in English speaking and writing is essential). A Current Drivers Licence and reliable vehicle. A punctual, positive, organised, energetic and self-motivated approach. Someone who enjoys working in a small, customer service focused and results driven team.
