Administration Assistant Vac Bora Pty Ltd location Northern. $30 - $35 per hour.

We are looking for a new Administration Assistant to join our team. The role will start as a casual position and our intention is to convert to a Permanent Part-Time position based on performance and suitability to the Company.

This position will be responsible for assisting in the organising and co-ordinating the company’s office operations, marketing, implementing and maintaining the company’s policies and procedures to enable the company to continue to expand by, tendering for work.

Assist in the implementation and monitoring of Health & Safety, QA policies and procedures to promote a safe work environment & practices for its entire staff and clients, and to ensure organisational effectiveness & efficiency.

The Administration Assistant needs to be able to work independently as well as be a valued team member working with fellow workers for a common goal – Continuing the company’s ongoing success, stability and growth.

Safe locating and exposing in and around all underground services, including: power, optical fibre, telecommunications, gas, water and sewer infrastructure allows us to safely and efficiently complete a huge variety of jobs. We also have the ability to supply backfill material and reinstate utilizing our tipper and track loader skid steer and or excavator. What you require knowledge of office administration ability to maintain a high level of accuracy in preparing and entering information.

Be creative and have knowledge on effective marketing avenues. Knowledge /or willingness to become familiar with Workplace, Health and Safety legislation. Knowledge /or willingness to become familiar with Human Resources. Knowledge /or willingness to become familiar with industrial relations requirements and laws.

Positive and Professional attitude and phone manner. Excellent written and verbal communication skills. Computer proficiency with the ability to quickly learn new programs. Skilled in Microsoft Office 365, including Outlook, Excel, Word.

Strong time management skills and the ability to organise and coordinate multiple tasks at once. Flexible team player and adaptable to meet rapidly changing priorities and deadlines. Stress management skills.

About The role assist Management in the preparation of site contracts and other job-specific documentation. Assist Management in all administrative tasks required. Provide progress updates to Management and coordinate equipment / plant repairs and maintenance schedules.

Data Entry on external databases and internal job management systems. Assist Accounts Officer with account keeping duties relating to accounts payable and accounts receivable duties when required – includes monthly reporting. Assist Accounts Officer in Payroll processing and protection / security of all HR files and records.

Assist Management with job scheduling and resource allocation (materials and labour) – maintaining stock levels. Ensure staff licences and inductions are recorded and are kept current (renewal dates). Assist Management in recruitment and employment onboarding of new starters – inducting staff, PPE, organise staff training requirements etc.

Assist Management in travel arrangements and logistics – booking accommodation, transport, access to utilities etc. Assist Management in implementing written procedures on staff recruitment, inductions, training, performance, internal administrative procedures, and all aspects of Human Resource Management.

Maintain professional and technical knowledge by attending educational workshops, reading publications (local newspaper & magazines, emails, etc.), and establish professional connections and network.

Promote the companies’ services and capabilities assist Management with designing, plan and maintain a successive marketing plan for the company within an allocated budget. Perform other related duties as required.
