Administration Assistant Private Advertiser location Brisbane.

Calling all administration & file management gurus. 3-month temporary position, with possibility of extension. Full-time or Part-time hours negotiable for the right candidate, including the ability to work from home.

About the QNMU The Queensland Nurses and Midwives' Union (QNMU) is the industrial and professional organisation for nurses and midwives working in public and private health and aged care in Queensland.  The QNMU seeks to promote and defend the industrial, professional, social, political and democratic interests of over 69,000 members.  We have over 200 employees including organisers, professionals and administrative personnel, and manage a multi-million-dollar operating budget.

About the role due to a number of exciting projects requiring our attention, we are looking for an immediate starter to assist our Employee Relations team in all things administrative - including a re-vamp of our filing systems to set us up for user-friendly success moving forward.

Working in a high-functioning and close-knit ER team currently comprising of an ER Supervisor, and ER Officer and 2 x ER Advisors, this role will be responsible for supporting the day-to-day administrative requirements of the team, however a few key projects & responsibilities will include transferring of employee documents from an existing database into a new database. Administer a complete re-vamp of the ER team’s filing structure and document management, following a data management plan and consistent naming conventions. Re-organising of outlook folders.

Leveraging your previous experience in administration assistance and file management to recommend best practices and continuous improvement, wherever possible. This role has a transactional generalist focus and provides support across all aspects of ER related activities which include assisting with recruitment, learning and development, ER reporting and ER administration, updating of our HRIS, filing etc. Required weekly hours are negotiable and can be offered anywhere between 15 – 37.5 hours per week to suit the needs of the right person, including the ability to work from home.

Skills & experience prior experience in Administration; Document Control; File/Database Management; or similar is essential. Exceptional attention to detail & high level of accuracy. Exceptional time management and organisational skills with the capacity to self-manage. Strong ability to follow direction - once you are given instruction on a task, you can hit the ground running. Proficiency in Microsoft Office, primarily outlook, excel and word.

Able to work within timeframes set for completion of jobs/tasks. Able to stay on track with highly routine tasks & maintain a consistently strong output. Work collaboratively within the team and ensure high level and appropriate communication with others. Highly organised, with an excellent ability to drive outcomes. Able to maintain confidentiality and use discretion as required. Able to work as part of a team, and independently where required.
