Role overview the administration assistant role is responsible for delivering administration support to ensure the smooth running of the practice. The administration assistant will strive to embody Deicke Richards values: to care, to share and to listen deeply to our community, our clients and each other. This position is advertised as full time but we may consider a part time role for the right candidate.

Working relationships the administration assistant works with all team members across all design disciplines and support roles. As an integral member of the administration team, the administration assistant will work closely with the practice manager. Liaison with clients, consultants and peers within the design industry may also be required.

Duties & responsibilities the administration assistant has a number of duties and responsibilities including representing Deicke Richards by greeting visitors to the office in a friendly and professional manner. Answering phones in a friendly and professional manner. Directing or taking messages as required.

Maintaining a presentable office environment. Management of repairs and maintenance of office vehicles and building. Management of computer equipment, subscriptions and IT support. Assisting in organising internal and external company events including organising catering. Monitoring and ordering office supplies in a timely manner.

Maintaining office records. Coordinate internal meetings, compile meeting papers and record minutes as required. Supporting the directors and practice manager in strategic, financial, HR and operational tasks. Assisting in maintaining our Quality Management System. Assisting project and communication teams as required. i.e. submission coordination and subconsultant agreements. Basic accounting tasks including data entry and processing. Reconciliation of corporate credit cards.

Efficiently and effectively preforming administration task. i.e. preparation of meeting rooms, filing, collection and distribution of mail, calendar management, coordinating travel and training bookings, maintaining memberships and subscriptions.

Skills and abilities to be successful in this role the administration assistant must possess a number of skills and abilities including positive attitude with a willingness to collaborate with and support other team members. Exceptional written and verbal communication.

Intermediate Microsoft 365 skills. MYOB experience advantageous but not essential. Current driver’s license. Strong attention to detail. Highly organised with a strong work ethic. Effective time management skills and the ability to prioritise competing deadlines. Capacity to work independently with limited supervision. Ability to learn new systems and processes quickly. Minimum of 2 years’ experience in a similar role.
