The Smith Family is an independent children's charity helping Australian children living in disadvantage to get the most out of their education, so they can create better futures for themselves. As we lead up to our Centenary, it’s an exciting time to be joining our family.
We are currently seeking an Administration and Volunteer Coordinator to join our growing team. Reporting to the Team Leader, Program & Scholarship Administration and working with a dedicated and passionate team, this role is responsible for providing exceptional customer service to The Smith Family customers, by undertaking administration based and customer service activities for our Scholarship and Programs.
About our role you will be responsible for support a volunteer team who deliver administration support to the Learning for Life scholarship, and TSF programs. Ensure compliance with all relevant organisational policies and procedures including maintenance of a safe workplace.
Support escalations and direct contact with families/program participants with complex or difficult issues unable to be supported and managed by P&S Admin volunteers. Work closely with local Program and Scholarship Administration Team Leader to schedule and prioritise volunteer resources to ensure activity deadlines are met.
Record management, including data entry and mass updates, as well as general administrative tasks where required. This may be for a specialist area or a general activity. Actively contribute to program process reviews in addition to providing feedback on data quality issues/queries as required on behalf of the national P&S Admin team.
About you as well as passion for community, you will bring the following highly developed coordination and administrative skills. Ability to engage with, support and manage the contribution of volunteers sourced from a variety of backgrounds.
Ability to communicate with a variety of audience including the capacity to deliver training. Proficient computer literacy: Intermediate skills in MS Word, Excel, Outlook, Powerpoint and Web technologies. Have an attention to detail and prior experience entering data into CRM applications and training others.
Ability to work under pressure, prioritise workload and meet deadlines. Ability and willingness to communicate effectively and support families and participants from a variety of backgrounds, including low-SES, ESL and low literacy.
