Job specification we are hiring administrative assistants to support the company in terms of our growth and operations. We need someone who can communicate effectively, both over the phone and over Whatsapp and email. This person should also be organized and meticulous, to manage our transaction volumes and customers. This person would report to our operations manager.

Responsibilities part of a team of other administrative assistants. Liaising with customers on any issue and directing the issue to the relevant team. Develop and maintain a filing system to track sales, orders, and issues. Maintain contact lists. Produce and distribute correspondence memos, letters, and forms. Assist in the preparation of regularly scheduled reports.

Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Carry out administrative duties such as filing, typing, copying, binding, scanning etc. Cover the reception desk when required. Handle sensitive information in a confidential manner. Take accurate minutes of meetings. Reply to email, telephone or face to face enquiries. Resolve administrative problems. Maintain up-to-date employee holiday records.

Requirements proven admin or assistant experience. Knowledge of office management systems and procedures. Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills. Proficient in MS Office.
