About the role we are seeking a proactive Accounts Assistant to join our team and support our Finance Manager. In this role, you'll primarily support the finance function including account payable and receivable.
Your Day-to-day perform tasks for Accounts Payable (AP) scope (including AP reconciliations) with the accounting software. This includes checking freelancer and contractor invoices for Super applicability with or without GST, based on Australian laws. The software used is JobBag.
Perform tasks relating to credit card reconciliations based on credit card statements received monthly. Posting the transactions in JobBag with costs allocated to projects (based on approvals received). This is a task involving excel and JobBag. All transactions are to be verified with supporting documentation (such as invoices, etc).
Projects related accounting and MIS requirements support as required from time to time by the Project teams including the HODs. Perform tasks for Accounts Receivable (AR) scope (including AR reconciliations, if any) with the accounting software for AIM’s AU and UAE entities. These would be for year-end intercompany reconciliations.
Support vendor registration documentation processes (as and when required), client and project setup in JobBag, and the company registration process on its Client portals/ systems. Support MIS reporting process for finance and accounting tasks (as and when required). Compiling data schedules for FBT returns (yearly task).
Uploading timesheets of staff, contractors and freelancers in JobBag after receiving approvals from HODs. Coordinating for approvals from HODs before postings. Coordinate with Producers and Admin team members on approvals related to travel, per diems, and other expenses.
Support in preparation of schedules for AIM’s UAE and HK annual audits and tax compliances. Support in preparation of schedules for AIM’s UAE VAT and corporate tax reporting requirements, which will entail preparation of accounting schedules as per tax laws of UAE.
Other finance and accounting activities (excluding payroll and regulatory compliances and reporting). Other administrative tasks as and when required by the Finance Manager.
The ideal person will be a proactive person who enjoys being hands on and getting things done. You will need to be IT and systems savvy and be great at organising those around you. You have excellent written and verbal communication skills with great attention to detail.
Desirable values, behaviours, and skills knowledge of MS office suite (including advanced level of excel). Knowledge of cloud-based accounting software (QuickBooks, Xero etc). This will help in working on JobBag (if you do not already possess JobBag software knowledge). Excellent interpersonal and communication skills.
Impeccable attention to detail, accuracy and follow-through. Flexible, can stay back (if needed) and do whatever it takes to get the job done. Self-starter/self-motivated, able to take initiative. Ability to multi-task in a fast-paced environment.
Planning foresight, ability to prioritise workload and issues. Work collaboratively with the team. Transparent in all processes. Nice-to-haves previous experience of JobBag but not essential.
Qualifications 2-3 years experience in accounting. Accounting/Commerce degree. Fluent English, both written and verbal.
