This position is Full-Time Maternity Leave relief role, with potential to become an ongoing position. Typically working Monday- Friday hours ranging between 8:00am – 4.00pm.
Job responsibilities the duties and responsibilities will vary according to the current needs of the Business, however the main fields that the position holder will be involved in are reception dutie reception duties – phone and in-person being the first point of contact. Taking accurate messages and passing on as soon as possible. Greeting all who enter the premises in a friendly and professional way.
General administration scanning & filing documents; Records are critical for any business, ensure documents are filed in the correct location and name correctly so they can easily be retrieved (both electronically and hard copy documents).
will also be required to assist with general administrative duties as required and to cover periods of leave (ie. accounts, customer enquiries, bank and card reconciliation, invoicing, filing, etc).
Accounts payable process accounts payable for assigned Persal & Co. companies. Accurate cost centre/ job/ plant coding and costing splits as necessary to each company. Verifying transactions with management. Accurate data entry ensuring applicable GST tax codes are applied. Weekly and monthly payments of accounts for assigned companies.
Accounts receivable posting accounts receivable for assigned Persal & Co. companies. Posting of customer payments (cash, card, direct debit) received against invoices and accounts. Following up on outstanding payments.
Reconciling of accounts reconciling bank accounts, credit cards and petty cash for companies assigned. Management of suspense accounts and transactions (for example: BOC, EFTPOS, ATM, Gaming Machines, TAB) and operational area costing for businesses assigned.
Follow-up on transactions with management and employees to ensure correct costing and management of any discrepancies. Follow-up with suppliers regarding invoices and statements when required. Management of credit applications.
Essential Skills, Abilities and Experience (Must have or be able to quickly obtain) 1+ years minimum Administration/ Office experience. 1+ years accounting software experience (we use Pronto) in accounts payable, receivable, bank reconciliation, invoicing, payments received. Highly organised. Moderate computer skills including Microsoft Office Suite skills (Word, Excel, Outlook).
Good team worker with polite, personable disposition to liaise directly with co-workers and customers. Ability to work without supervision (self-motivated). Professional pride, honesty and integrity. Numeracy and high attention to detail. Professional personal presentation. Current valid C-class driver’s license.
High commitment to WH&S practices and focus on eliminating and minimising hazards. Physically fit and healthy to perform the work (refer to ‘Essential Physical and Mental Requirements for this Position’ below). Ability to develop, grow and evolve with the company. Willingness to undertake any job-related training your manager deems appropriate.
Able to pass a drug and alcohol test at any time at work. Ability to easily lift 10 kilograms safely without assistance. Ability to perform regular bending, stretching, twisting whilst carrying 10 kilograms. Ability to stand / sit all day at a desk. Ability to receive constructive feedback objectively.
Ability to work in a close-knit Team environment. Ability to work alone when required. Ability to work to strict time frames. Very organised, neat and tidy at all times. Willing to be accountable for the outcomes of your work and how it affects other team members and clients. Ability to be adaptable to an ever changing technical and organisational environment.
Preferred (nice to have) Skills, Abilities and experience current advanced First Aid and CPR certification. Electronic Payroll experience would be desired, but not essential. Certificate III (or similar) from a recognized institution.
Remuneration will be dependent upon the successful applicants’ skills and experience.
