Ipswich Girls’ Grammar School including Ipswich Junior Grammar School offers high quality, non-denominational education to students from Kindy to Year 12 (co-education from Kindy to Year 6, girls only Years 7-12). We have a fantastic opportunity for an experienced and energetic administrator to support the Co-curricular Arts Department. The Arts program is a vibrant department of the School and has grown significantly to support the artistic endeavours of our student cohort. The popularity of the Arts program is a result of a dedicated team of professionals who provide a variety of music, dance, visual art, and drama opportunities to the School student community.
In this part-time role (4 hrs per day, 5 days per week), you will provide day-to-day administrative and events management support to the Co-Curricular Arts Department. This role will suit someone who has strong administrative support experience, loves variety, enjoys working with a close-knit team of creative professionals and seeking the flexibility that comes from a part-time role.
Reporting to the Director of Co-Curricular Arts, on any given day you may carry out a wide range of administrative duties including typing, reception duties and maintaining manual and computerised records. Manage administration enquires from staff/students/parents/public.
Assist with preparation of internal and external publications. Provide administrative support to senior management. Arrange appointments and diaries and prepare confidential and general correspondence. With the diverse needs of the department, this role requires a willingness to be flexible with time and task variety, the ability to prioritise work efficiently, and a commitment to teamwork. Occasional evening and weekend work may also be required to support school events each term which you will be remunerated for.
What you will bring to be successful in this role, it is envisaged that you will be highly organised, with a positive ‘can do’ attitude, as well as proven experience (ideally 2+ years) in providing high level administrative support, preferably within a secondary school environment. Strong understanding and application of the Microsoft Office suite of software products including word, excel, power point, outlook and learning management systems.
Experience working with data and information as well as developing and managing data reports. Excellent interpersonal and written communication skills, including the correct use of English punctuation, grammar, and corporate styling. Demonstrated ability to work under minimal supervision, prioritise tasks to meet timelines, and ability to manage and maintain knowledge of curriculum, assessment, and reporting matters.
Proven ability acting in a liaison role between multiple stakeholders where discretion and judgement are required in relation to planning, actions and achieving outcomes. Proven commitment to actively work as part of a high performing team with the flexibility to work outside of core business hours to support School events. Be the holder of, or can obtain, a Working with Children Suitability Card (Blue Card).
